Workflow automation and integrations that remove the busywork

We build workflow automations that take repetitive digital work away from your team, and integrate it with the systems your business already utilises, in line with the ISO standards we're accredited to.

Businessprocessautomationandsystemsintegration

Many established businesses lose hours each week to work that could be automated, such as copying data between systems, chasing the same updates and re-keying customer details. Business process automation removes that work, so your team can focus on the tasks that need their expertise.

Integration is how we connect that automation to the systems you already use, from your website and CRM to your finance and operations software, so a change made in one place is reflected everywhere it's needed. Automation only saves time if it's properly integrated with your existing data and day-to-day tools, which is why we deliver the two together.

BookingandpaymentautomationforModalityLLP

Modality's patients used to book through a widget embedded from its practice-management system, and some lost their booking at the last step. To prevent this from happening, we built booking and payment automations into Modality's own site and connected them to its practice-management system.

  • A direct integration with Semble, Modality's practice-management system, built on its GraphQL API.

  • The booking, patient record and invoice are only created in Semble once Stripe confirms the payment, so an abandoned checkout never holds a slot.

  • Patients only see the options for the service they came for, and the form fills in the location from the page they arrived on.

  • If someone starts a booking and doesn't finish it, they get an email reminding them of the unfinished booking.

Isometric drawing of the Modality booking system: the booking form on Modality's site with the Caterham location filled in and its three steps, one form per service, built in WordPress with Gravity Forms; a Stripe payment box marked Confirmed; the Semble GraphQL API connection; and on a raised Semble tier the booking, patient record and invoice created after payment, with a diary where an unfinished checkout holds no slot. In front, the abandoned-cart recovery email.

Ourautomationprocess

We automate the routine digital tasks your team carries out by hand, such as moving data between systems, sending updates, qualifying enquiries and generating documents, so they run reliably in the background.

01

Identify what's worth automating

Not every task should be automated. The best candidates for automation include tasks which happen often, follow the same steps each time, and cost your business when they go wrong. We work with you from the outset to establish where your team's time is actually going, and start with the processes that will give the most time back.

02

Map the process

We map each process as it runs today, from the first step to the last, including every hand-off between people and systems. This gives us a clear specification of what the automation needs to do before anything is built.

03

Build the automation

We build the workflow so it runs the same way every time, with a member of your team signing off any step that needs human judgement.

04

Integrate it with your systems

We connect the automation to your CRM, your data and the tools you already use, in line with the ISO standards we're accredited to.

05

Document and maintain

We document every integration so it's secure and can be maintained over the long term, whether by us or by your own team.

We explain our reasoning at every stage, so you understand what's being built and why.

Business process automation

One automation hub: an AI chip reads and sorts the emails in an inbox tray, pulls the key details out of a document and feeds an enquiry workflow.

AI automation

A close-up of an AI chip on its circuit board, sorting emails from an in-tray into trays for enquiries, invoices and the ones that need a person, pulling the key details out of a document, and drafting a reply that waits for a person to approve, with a card setting out what it does on its own

Marketing automation

The real booking form we built for Modality's Caterham clinic, piped to a check: a finished booking goes to the booking system as paid and booked, and a booking started but not finished goes to the email tool, which sends an abandoned-cart recovery email that arrives on the patient's phone

CRM integration

A CRM on a raised tier with a customer's billing address edited once, linked to the website's contact form that sends enquiries in, and to the accounts and operations or HR software, each showing the same field updated

API integration services

The real booking form we built for Modality, with a calendar and an appointment time, linked through a secure API to the booking system's diary, with a payment gateway that confirms payment before the booking, patient record and invoice are created, and integration notes documenting the link

Data and AI integration

Three databases, CRM, accounts and website, sending the same status field as an old value, a different spelling and a gap, a match-and-clean step setting one format, the joined-up data with every row consistent, and an AI chip connected through a locked, checked link with read-only access and every change logged

BuiltandintegratedinlinewithISOstandards

We're accredited to ISO 9001 for quality, ISO 27001 for information security and ISO 42001 for AI management. ISO 9001 means the work is planned, documented and repeatable. ISO 27001 means your systems and data are handled securely while we work in them. ISO 42001 covers how we manage the AI we use, so the automation is built responsibly and with oversight. Together they represent the management systems behind every job we deliver.

Our accreditations underpin how we work, and they don't make your business accredited, certified or compliant. What it gives you is the assurance that your systems are in safe and accredited hands.

  • Repetitive, rule-based digital tasks that your team carries out by hand, such as moving data between systems, sending follow-ups, routing and qualifying enquiries, processing invoices, generating documents and compiling reports. If a task happens often and follows the same steps each time, it's likely to be a good candidate for automation.
